Executive Affairs Coordinator

Compensation range: $62,000–$74,400 per annum

Summary

The Executive Affairs Coordinator should be a highly organized and proactive professional who will support the President and CEO of American Progress in managing their briefing materials, internal and external events, and schedule. The Executive Affairs Coordinator will work with members of senior leadership and staff at all levels of American Progress to ensure the President and CEO is well organized, well informed, and using their time well. The Executive Affairs Coordinator should have exceptional organizational skills and attention to detail and be able to work efficiently and effectively in a fast-paced environment.

Responsibilities:

  • Build the President and CEO’s daily briefing book.
  • Lead teams across American Progress to produce briefing papers for the President and CEO.
  • Manage the President and CEO’s calendar, including scheduling meetings, calls, and events.
  • Prepare meeting agendas, presentations, and follow-up notes for key discussions.
  • Handle travel arrangements, including flights, accommodations, and itineraries.
  • Work with other members of the Executive department to track key deadlines, commitments, and deliverables across the Executive team and the entire organization.
  • Support special projects and initiatives as assigned by the President and CEO.
  • Handle confidential matters with professionalism and discretion.
  • Other duties as assigned.

Requirements and qualifications:

  • One to two years of experience in a front office position or similar roles.
  • Comfort with fast-paced work environments.
  • Willingness and desire to take on significant responsibilities quickly.
  • Strong organizational and time management skills with the ability to multitask.
  • High level of professionalism and confidentiality.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Calendar.
  • Bachelor’s degree (preferred but not required).
